Payment Follow-Ups Services
Consistent follow through for unpaid invoices
Late payments can be overlooked when customer communications, invoice dates, and balances are scattered across systems. We organize the information and use your approved follow up process to keep open invoices visible and addressed.
What is included
- Track unpaid customer invoices, due dates, outstanding amounts, and recorded payments.
- Identify invoices reaching or passing their due dates.
- Send courteous reminders according to your approved timing and communication guidelines.
- Record reminder activity and customer responses where relevant to invoice status.
- Report overdue balances and issues that need a decision from your business.
Professional reminders, not collections enforcement
Paper Trail provides administrative payment reminders and tracking. We do not operate as a debt collection agency, initiate legal collection actions, guarantee payment, or make independent agreements about disputed amounts. Escalations, write offs, discounts, and payment arrangements remain decisions for your business.
A practical view of receivables
You should be able to identify who has been invoiced, which amounts remain unpaid, and which items need review. Our follow up records support that visibility without replacing your accounting or legal advisers.
Establishing the open invoice list
We start with the invoices recorded as open and the payment information available in the agreed system. Invoice dates, terms, amounts and recorded payments help distinguish a current invoice from an overdue or partially paid balance.
An amount should not be treated as overdue simply because it appears on an old list. A missing payment update, an unapplied credit or a disputed invoice may require clarification before your approved reminder process is used.
The reminder schedule you approve
Your business approves the timing, communication channel and tone of payment reminders. The agreed schedule gives the follow up work a consistent basis while allowing your team to identify customers or invoices that need a different approach.
Paper Trail follows those instructions rather than inventing collection terms. Any proposed discount, payment arrangement, late charge or concession requires a decision from your authorized team and must fit your own customer agreements.
Preparing an accurate reminder
A useful reminder identifies the customer invoice and the amount shown as outstanding. We use the available billing record so the communication can refer to the appropriate invoice and due date rather than send a vague request for money.
If the invoice record or payment status is unclear, we raise the issue through the agreed workflow. A reminder should not conceal missing information or describe an amount as settled before the supporting payment information is available.
Recording replies and payment updates
A customer may say that payment was sent, request another invoice copy or question the billed amount. We record relevant communication within the agreed process so the next action can be considered with that context.
A statement that payment was sent is different from a confirmed update in the payment record. Your team supplies or confirms information needed to resolve that difference. The follow up record tracks the issue without treating a promise as guaranteed receipt.
When the business needs to decide
Disputed amounts, proposed payment plans and requests to write off a balance need a business decision. We identify the issue and bring the relevant invoice and communication history to your designated contact.
Your team decides whether to pause reminders, adjust an amount or seek advice about a dispute. Paper Trail does not independently negotiate a settlement, initiate legal collection action or promise that a reminder will result in payment.
The information and summaries you receive
Your team provides the open invoice records, applicable terms, recent payment updates and approved customer contact information. Instructions about sensitive relationships or disputed invoices help define which items need review before another reminder.
The agreed summaries identify overdue balances, reminder activity and unresolved items needing attention. They support visibility into receivables without replacing financial reconciliation, legal advice or your responsibility for customer billing decisions.
