Customer Invoicing Scope

Customer Invoicing turns your approved customer, charge and payment terms into prepared and delivered invoices. The service maintains the billing record and identifies missing details before an invoice is sent. Your business decides what is charged and approves any credits or changes.

Customer Invoicing Services

Send clear invoices and maintain a reliable billing record

Customer invoices should be accurate, understandable, and easy to trace. Paper Trail creates and sends invoices using approved billing instructions, helping your business avoid scattered records and uncertainty about what has been billed.

What is included

  • Prepare invoices from client approved billing information, including customer details, descriptions, amounts, and payment terms.
  • Deliver invoices through the agreed billing system or approved communication channel.
  • Maintain invoice records, dates, due dates, amounts, and payment status.
  • Identify missing billing details that require clarification before an invoice is sent.
  • Provide visibility into outstanding invoices and support accurate billing history.

Your business stays in control of its billing decisions

Your team determines what customers owe, the amounts charged, contract terms, credits, and adjustments. Paper Trail executes the approved billing workflow. We do not independently set prices, resolve contractual disputes, or authorize credits without your instructions.

How invoicing connects to the rest of Accounts & Billing

Once an invoice has been issued, its status remains part of your Accounts & Billing records. If payment is overdue, our Payment Follow-Ups service provides a structured way to contact customers and report unresolved balances.

The billing information you provide

Invoice preparation starts with the billing instructions your business has approved. These identify the customer, the work or products being billed, the amount, the invoice date and the payment terms. Your team supplies any project, purchase order or other reference the customer needs.

If a required detail is missing or inconsistent, we ask for clarification before issuing the invoice. An unclear instruction should remain a visible question rather than become an assumed charge to your customer.

From instructions to a prepared invoice

We use the agreed system to turn the approved information into an invoice. The invoice record brings the customer, description, amount and terms together so your team can identify what was prepared and the activity it represents.

Your process determines whether a prepared invoice needs a separate review before delivery. Changes to price, scope or contract terms require your instructions. Administrative preparation does not give Paper Trail authority to decide a new charge.

Delivery and the billing record

Invoices are delivered through the agreed billing system or approved communication channel. Keeping the invoice reference and delivery information together makes later questions easier to trace. Your team should be able to locate the issued invoice rather than reconstruct it from separate messages.

If a delivery detail is missing or a customer needs a different billing contact, we bring that issue back through the agreed process. A delivery attempt does not establish that the customer has approved the underlying charge or will pay it.

Recurring and individual billing instructions

Some businesses repeat an agreed invoice each period, while others bill a completed job or a specific order. The billing instructions should distinguish those patterns and identify what changes before the next invoice is prepared.

A recurring amount should not continue solely because it appeared on an earlier invoice. Your business remains responsible for confirming the applicable services, terms and adjustments. We follow the approved instructions and identify details that need a fresh decision.

Credits, changes and customer questions

An issued invoice may later need a correction, credit or adjustment. Your team determines the approved change and its reason. Maintaining the connection between the original invoice and the instruction helps preserve an understandable billing history.

A customer question about what was delivered or what a contract allows is a business decision, not a clerical correction. We can organize the relevant billing record and communicate the question within scope without independently settling the disagreement.

What your team receives

The agreed output is an organized record of prepared and issued customer invoices, including dates, amounts, terms and payment status. Missing billing details and unresolved instructions remain identifiable so your team can see what needs attention.

Invoice preparation connects to Payment Follow-Ups when an issued amount remains unpaid. It is distinct from Monthly Bookkeeping, which records and reconciles financial activity. Sending an invoice is part of the active Accounts & Billing service rather than basic receivable tracking.
