Bookkeeping
Santa Monica
Understand how daily sales become bank deposits, including refunds, fees and money that is still waiting to settle.

Local Bookkeeping Services
Santa Monica’s business districts bring together shops, restaurants and service businesses with different daily payment patterns. For an owner reviewing a busy week, the money deposited by a payment processor may tell only part of the story. Paper Trail offers remote bookkeeping for Santa Monica businesses, with sales reconciliation shaped around the systems you actually use.

Business Records
Customers make purchases, payments enter the processor, adjustments are applied and a payout eventually reaches the bank. Those events can occur on different days. If you compare one day’s sales to that day’s bank deposits, a difference may be expected rather than evidence of missing money.
The reconciliation needs a consistent date range and the processor’s settlement details. Gross sales, refunds, processing charges and amounts still held by the processor should connect to the net payouts. A bank feed alone does not explain that bridge. Settlement records make it possible to investigate actual discrepancies without treating every timing difference as an error.
Income and Expenses
Imagine a daily report showing $2,000 of card sales, $100 of refunds and $60 of processing fees. If those are the only adjustments in that settlement, the resulting payout is $1,840. Recording only the payout as sales would hide the refunds and fees and understate the gross activity shown by the sales system.
Real settlements may also include earlier transactions, chargebacks, reserves or other adjustments. The process should follow the actual report instead of applying this example as a fixed formula. These amounts are illustrative and do not represent a local business or Paper Trail customer. Separate records are needed for amounts collected on behalf of others.
Local Business Example
A monthly report is more meaningful when sales and costs use consistent categories. A new delivery channel, a temporary promotion or a change in opening hours can affect the pattern. Keeping those business changes visible helps explain why two months differ.
For an owner with several channels, the review may show sales and processing costs by channel alongside the combined business results. That can prompt useful questions about fees and operating effort. It does not prove a channel’s profitability unless related costs are also captured consistently. The report should show what the records support and make the limitations clear.
Monthly Records
Santa Monica’s official startup guide notes that business district assessments may depend on location. If a business receives a local assessment, permit invoice or renewal notice, the record should identify what the charge covers and the period involved. We do not decide whether an assessment or license applies, but organized documents make review with the city or your adviser easier.
To discuss the bookkeeping scope, tell us which checkout and payment systems you use, how many channels are involved and whether payout differences are recent or longstanding. That overview helps us identify the records needed for reconciliation without asking for account numbers or transaction details in the initial conversation.
