Accounts & Billing Scope
Accounts & Billing is an ongoing administrative service, available on its own or alongside Monthly Bookkeeping. It focuses on the active handling of customer invoices, customer payment status, vendor bills, reminders, and payment preparation. Monthly Bookkeeping, by comparison, maintains and reconciles the financial records and includes only basic accounts receivable and accounts payable tracking.

A clearer way to manage money coming in and bills going out
An invoice is only useful when it is sent accurately and followed through. A vendor bill needs more than a place in a folder. It needs an accurate record, a due date, and a clear approval path. Paper Trail brings those moving parts together with organized records and consistent follow through.
Our Accounts & Billing services
- Customer Invoicing: Prepare and deliver customer invoices using approved details, and maintain a record of what was billed.
- Payment Follow-Ups: Track unpaid invoices, monitor outstanding amounts, and send appropriate reminders on an agreed schedule.
- Vendor Bill Management: Receive and organize vendor bills, record amounts and due dates, and keep pending obligations visible.
- Payment Coordination: Prepare vendor payments for review and approval so your team can decide what is paid and when.
- Accounts & Billing Reporting: Provide organized summaries of unpaid customer invoices, outstanding vendor bills, and items needing attention.
Defined responsibility, clear approvals
Paper Trail handles preparation, organization, tracking, and communication within the agreed service scope. Your business retains control of its money. We do not independently release vendor payments, transfer funds, or approve expenses on your behalf. Vendor payments are prepared for your review and approval.
Choose the workload that matches your business
Our Basic, Plus, and Pro plans include the same core Accounts & Billing services. The difference is the number of customer invoices and vendor bills handled each month. Businesses with larger volumes or specialized processes can request an Enterprise quote.
Agreeing on the workflow
We begin by identifying where customer billing instructions and vendor bills arrive, which system holds the records, and who is authorized to approve changes. Your team identifies the people responsible for billing decisions and payment approval. The agreed scope establishes which administrative steps Paper Trail handles.
A useful handoff includes customer and vendor lists, invoice terms, outstanding items and the current approval process. Missing details are raised with your designated contact rather than filled in through assumptions.
A customer invoice through its lifecycle
Your approved billing information supplies the customer, description, amount and terms. Invoice preparation and delivery create a record of what was billed. Payment status tracking then distinguishes an invoice that remains open from one that has been partly or fully settled.
When a reminder is appropriate, the communication follows your agreed schedule and instructions. A question about pricing, a disputed service or a request for a concession goes back to your business for a decision.
A vendor bill through review
A vendor bill needs an identifiable supplier, invoice reference, amount and due date. We organize those details so received bills can be distinguished from items awaiting clarification or approval. A possible duplicate should remain visible as a question until your team confirms its status.
Payment preparation follows the approved workflow. The record identifies what has been prepared, which approval is still needed and what confirmation has been supplied. Preparation is not permission for Paper Trail to release funds.
Information your team provides
Your team provides approved customer billing instructions, vendor bills, payment terms and the names of authorized reviewers. Changes to customer details, credits, disputed amounts or vendor information need a clear instruction from the person responsible for that decision.
Please use the agreed document process for supporting records. Do not send banking passwords or unrestricted account access. We can identify missing information without asking you to share login credentials in an ordinary message.
Understanding the outstanding items
An outstanding balance summary is useful when each amount can be traced to its invoice or bill. The administrative record can distinguish an unpaid invoice, a partially paid invoice, a bill awaiting approval and an item that needs more information.
These summaries show the work needing attention within the agreed service scope. They do not replace reconciled financial statements. Monthly Bookkeeping maintains those financial records, while Accounts & Billing manages the active administrative workflow.
Exceptions and client decisions
A customer may question an invoice, a vendor may send a revised bill, or a payment confirmation may arrive without a clear reference. We identify the unresolved item and communicate what is needed so the administrative record does not hide the uncertainty.
Your business makes the underlying decision about validity, adjustments, concessions and payment authorization. Paper Trail organizes the supporting information and records the instructions received within the agreed process. No payment or collection outcome is guaranteed.
