Resolve Uncategorized Transactions Before Tax Preparation

Uncategorized transactions need investigation before the books can provide a dependable tax preparation package. They may represent ordinary expenses, sales, transfers, loan activity or owner transactions. Leaving everything in a miscellaneous account can distort the reports and hide information the tax preparer needs.

Identify the source and business purpose

Start with the statement description, then check receipts, invoices, contracts or payment platform records. Merchant names can be abbreviated or unfamiliar, so the bank description alone may not explain the transaction. Group similar items and ask the owner focused questions about business purpose rather than requesting an explanation for every line individually.

Do not turn uncertainty into an expense

A payment is not automatically deductible, and a deposit is not automatically revenue. Transfers between business accounts, credit card repayments and loan proceeds need distinct treatment. Equipment and mixed personal purchases may require additional review. Where evidence is incomplete, maintain a clearly identified unresolved item instead of guessing a category to make the report look finished.

Share unresolved matters before the deadline

Give the tax preparer a list of remaining questions, the available evidence and any timing constraints. The preparer determines the tax treatment and whether additional information is required. Bookkeeping cleanup can organize and correct the records, but it does not establish deduction eligibility by itself. A recurring process for collecting receipts and reviewing unfamiliar activity reduces the volume that reaches tax time unresolved.
