Automatic Categorization Still Needs a Human Review

Rules can speed up transaction categorization, but they need clear conditions and regular review. A merchant name alone may not identify what was purchased. Automatic categorization works best for predictable transactions, while unusual, mixed or ambiguous activity should be checked before posting.

Choose narrow rules

A fixed monthly internet charge from a known provider is more predictable than a purchase at a retailer that sells office supplies, computers and personal products. Build rules around the account, transaction type and reliable description. Test the result on actual examples before allowing a rule to post automatically.

Watch for changing business facts

A supplier may begin providing a different service, or a card may be replaced while old rules remain active. A transfer rule that assigns every matching withdrawal to expenses can distort both cash and profit. The bookkeeping still needs to distinguish transfers, loan principal, owner activity and customer receipts from ordinary expenses.

Review the exceptions and the ordinary entries

Keep an exception list for transactions without enough information, then resolve it using receipts and business context. Periodically sample entries a rule has accepted to catch systematic errors that look consistent. Document why a rule changed and whether earlier transactions require correction. The aim is a repeatable recordkeeping process that reduces typing while preserving an understandable connection between each transaction and its supporting evidence.
