Move a Misposted Payment to the Right Account
A payment posted to the wrong account should be traced to its source and corrected without creating a second payment. First clarify whether the error concerns the bank account, expense category, customer record or vendor record. Each changes a different part of the books.
Find the real transaction and its current entry
Use the bank or card statement, invoice reference and payment confirmation to establish what actually happened. For example, an expense paid from a credit card should not remain assigned to the checking account. Likewise, a receipt applied to the wrong customer can leave one customer apparently overdue while giving another an unexplained credit.
Correct the connection and preserve the evidence
Depending on the software and status of the period, the repair may involve changing an account, rematching a feed item or moving a payment between customer or vendor records. Avoid deleting and recreating activity without checking linked invoices, credits and reconciliations. Retain a note explaining the original error and the supporting document used to resolve it.
Review both sides after the change
Confirm that the payment appears once in the correct place, the original incorrect balance is cleared and the affected accounts still reconcile. If the transaction belongs to a closed or filed period, coordinate the correction with the responsible accountant or tax preparer. Checking the complete effect prevents a simple category repair from leaving a hidden problem in cash, receivables or payables.
