See Which Customers Still Owe You Money

Use an accounts receivable aging report supported by a current invoice and payment record. It shows which customers owe money and how long the balances have been outstanding. Before following up, verify that payments and credits have been applied to the correct invoices.

Read the balance by invoice

A customer total may combine an overdue invoice, a current invoice and a credit. Review invoice number, original amount, due date, payments and remaining balance. Aging buckets help prioritize follow up, but an old date is not enough to establish that the customer still owes the listed amount.

Clear payment application problems

Suppose a customer paid $1,000 against two invoices, but the deposit was categorized as new sales instead of applied to those invoices. The bank contains the money while the customer still appears overdue. Match the receipt to the right records before sending a reminder or creating a new invoice.

Maintain a practical collection record

Identify disputes, agreed payment arrangements, expected credits and invoices requiring corrections. Keep notes that explain who will follow up and when. Review older balances regularly because they can indicate a collection issue or a bookkeeping mistake. The receivables list supports cash planning even when your tax reporting uses the cash method. Paper Trail can help keep invoice and payment records aligned so your conversations with customers begin with accurate information.
