Find Bank Transactions Missing From Your Books

Missing bank transactions can be found by comparing a complete bank statement with the bookkeeping register for the same period. A bank feed is useful, but the statement provides a separate record of posted activity. Check for import gaps, disconnected accounts and entries assigned to the wrong account.

Start with a defined period

Confirm the statement opening and closing dates and use those dates in the register. Review deposits and withdrawals separately. Look for an unexplained day or week with no imported activity, especially around a new connection, password change, software migration or account closure.

Search before adding anything

A transaction may already exist under a different date, amount grouping or account. A single bank deposit may combine several customer payments, while a platform payout may subtract fees. Search using the payment reference and supporting documents before creating a new entry. Otherwise, the missing transaction investigation can produce a duplicate.

Correct and verify the whole account

For example, if a $215 insurance payment appears on the statement but not in the register, check whether a bill payment was posted to a different bank account. Correcting that account may solve two discrepancies at once. Record genuinely missing activity with its supporting evidence, then finish the reconciliation. Keep a record of what caused the gap so future imports and monthly checks can catch the same issue earlier.
