Fix Incorrect Balances Without Starting Over

You usually do not need to start over, because incorrect balances can often be repaired within the existing bookkeeping file. Missing transactions, duplicates, misclassified transfers and unsupported opening balances are common causes. Review the existing records before deciding whether a rebuild is necessary.

Identify the kind of problem

A bank account that differs from its statement is a reconciliation problem. A supplier that appears unpaid despite a bank withdrawal may have a payment application problem. A profit report can be wrong even when cash agrees, because an expense was placed in the wrong category. These situations require different corrections.

Preserve useful history

Starting over can lose invoice details, attachments, reconciliation records and explanations that help establish what happened. Export reports or preserve a backup before substantial repairs. If a transaction belongs to a completed or filed period, consider the reporting effect before changing it. Keep the tax preparer informed of changes to information already used for filing.

Use evidence to choose repair or reconstruction

For example, one incorrect opening balance can make twelve months look inconsistent. Correcting that supported starting balance and checking subsequent reconciliations may address the root cause. In contrast, a file without reliable account history may require a more extensive reconstruction. A preliminary review should explain what can be preserved, which records are missing and how the completed work will be verified.
